ABOUT THE ORION CENTER: YouthCare’s Orion Center is a multi-service drop-in center for young people ages 12-24. The center offers young people basic needs services, three meals daily (M-F), showers, laundry, and lockers. YouthCare’s Orion Center also houses Employment Programs, an Interagency High School site, offers Case Management, a GED preparation and tutoring program, an Emergency Young Adult Shelter, and Engagement Activities during drop-in hours.
POSITION SUMMARY: Under the supervision of the Senior Program Manager, the Operations Supervisor supports the daily operations of the Orion Center. Primary duties include administrative fiscal support, data entry and tracking, oversight of the physical facility, and supply and food ordering. The position requires strong collaboration, organization and administrative skills as well as the ability to be flexible while maintaining a safe and structured environment.
- Perform general administrative and office support activities for the Director of Engagement Services and Program Managers.
- Maintain and manage systems that support the operation of the Orion building and programs. Support program managers and supervisors in complying with credit card process, controls, and reporting. Facilitate bus passes, petty cash, and gift cards processes, which includes purchases, within parameters outlined by the Finance and Accounting department.
- Act as primary liaison to YouthCare functional departments to facilitate and organize processes and work flow – relating to volunteers (Development and Communications), facilities, and IT.
- Develop, organize and maintain office filing systems for purchases, fiscal controls and grant tracking.
- Conduct inventory, order office and occupancy supplies for Orion Center
- Facilitate room scheduling in conjunction with program leaders – for meetings, trainings, and activities.
- Enter data as needed into information management system for program reporting.
- Courier inter-office mail between Orion Center and YouthCare Main Office three times week.
Facilities and Program Management:
- Supervise Meal Program and staff (1-3 FTE), including Meal Coordinator. Secondary supervisor and point of contact for Volunteers in the Orion Center (~100 placements year). Assess program needs– and implement system for supporting growth and sustainability.
- Ensure that the facility is maintained in a safe, clean and orderly fashion, including commercial kitchen, offices, and common areas. Provide on-site oversight for janitorial contractor / staff.
- Track and schedule/perform inspections, preventative maintenance tasks, and repairs when needed.
- Act as primary liaison to the Facilities Manager. Promptly report needs for facility repair to the Facilities Manager and the Director of Engagement Services. Support high-level tracking of grants and revenue for Orion Center and support allocating expenses across various contracts.
- Supervise large volunteer cleaning groups; coordinate with the Development Team. Represent YouthCare
- Oversee all office equipment functions; including copiers, kitchen, and fire safety equipment. Work with vendors and coordinate with YouthCare Manager for installation, repairs, and tracking.
- Maintain vehicle fleet (documentation, inspections, oil changes, trip logs).

- 1 or more years of experience successfully working with vulnerable young people or young people in a crisis, during outreach efforts or in residential setting.
- 1 or more years of facility oversight experience or administrative work with equivalent level of responsibility.
- High School Diploma, GED, or Associates’ Degree in Human Services, Social Work or related field.
- Experience and credentials must comply with program contract requirements
- BA / BS preferred with an equivalent combination of education and experience.
CONDITIONS OF EMPLOYMENT:
- Valid state identification or passport.
- Current TB Test.
- Food Handler’s Card.
- Successful completion of pre-service training as required by contracting agency. Training will include: New Employee Training, Cultural Proficiency training, CPR/First Aid and HIV/AIDS training, CSEC and Right Response training, Defensive Driving and 15-Passenger Van training.
- Must possess a valid WA State Driver’s License and have the ability to drive.
- When driving YouthCare vehicles, you must possess a valid WA State Driver’s License; meet minimum safe driver criteria established by the agency and our insurance company.

- Ability to maintain professional boundaries with clients while building trust and respect.
- Ability and willingness to stay awake and alert during overnight shifts.
- Ability to verbally and physically respond to an aggressive person in ways that de-escalate, establish and maintain staff and young peoples’ safety.
- May be required to assume responsibilities or duties within the agency not specifically delineated in this job description for short periods of time or on an infrequent basis.

- Ability to perform range of physical motions, exerting up to 50 pounds. Lifting and carrying up to 50 pounds; standing, walking, sitting for long periods of time, kneeling, squatting, and stooping; running for brief periods of time; and go up and down stairs.
