Temporary Staff Accountant

Function: The Staff Accountant is responsible for the day-to-day accounting including, but not limited to: accounts payable, general ledger transactions, and payroll. In addition, this position is responsible for evaluation and optimization of Salesforce, Classy and Podio platforms, reporting and reconciling of External Relations finances and providing the highest level of customer service to donors.

Hours: This is an exempt, salary position, working 40 hours per week; can occasionally involve some evenings and weekends. This assignment will be from mid-May (or when hired) until December 2019.

Salary: $60,000 annually ($5,000/month)

Term- 7 Months- Benefits eligible upon completing 30 days of employment. 

Essential functions
Payroll and Benefits Administration

  • Manage time reporting and payment processes for employees and contractors

  • Main point of contact for third party payroll processor

  • Analyze and allocate payroll to funders

  • Reconcile all payroll liability accounts

  • Process employee reimbursements

  • Maintain allocation data for payroll to specified funding streams/projects

  • Manage all payroll files

Accounts Payable

  • Manage all vendor files

  • Review and validate invoices to ensure legitimacy of billings and accuracy of coding

  • Assist staff with questions on expense coding

  • Notify Controller of any material issue or variance

  • Review and input credit card receipts

Data Collection and Analysis

  • Maintain constituent records in the Salesforce database and perform regular maintenance to ensure data integrity and database performance.

  • Implement data entry business rules, processes and procedure guidelines.

  • Provide accurate and timely data entry and gift coding.

  • Construct queries and generate specialized reports as requested by External Relations team members.

  • Perform all gift entry. Includes weekly gift batches, running financial reports, and reconciling deposits. Import transactions from online giving platforms (e.g. Classy).

  • Work closely with Finance to provide weekly and monthly reports of External Relations revenue; perform regular reconciliation of Salesforce data with Finance (Abila MIP) data; and provide reports as requested by Finance for annual audit process.

  • Manage Podio as our productivity and management solution for planning, managing, and evaluating the work of the External Relations team. Train new members in Podio as needed.

Donor Support

  • Produce timely and accurate donor acknowledgment including thank you letters and tax receipts and provide prompts to appropriate staff for special recognition and follow-up action items.

  • Monitor how major donors are tracked in Salesforce. Update tracking and coding as needed.

  • Perform list pulls to ensure segmented communication

Physical-Mental-Psychological Skills

  • Work well under tight deadlines and strong project management skills

  • Work as a fully integrated member of the finance and External Relations teams.

  • Communicates effectively with staff, vendors, bankers, and auditors

  • Confidence in own abilities, able to hear and incorporate other’s perspectives

Minimum Experience Required

  • BA/BS/BBA degree in accounting or related field and 3 years of experience or an equivalent combination of education and experience including broad financial management experience.

  • Experience in payroll

Preferred personal competencies, skills, and attributes

  • Demonstrated competency in a fundraising database with the ability to run complicated queries.

  • Experience with gift reconciliation.

  • Customer service experience.

  • High degree of organization and attention to detail.

  • Ability to handle multiple issues/tasks simultaneously.

  • Ability to work effectively with a wide variety of individuals of varying backgrounds and positions within the agency and the community.

  • Strong track record in exercising sound, timely judgment. 

  • Competency in using data to inform decisions as well as creativity in problem solving.

  • A high degree of initiative.

  • Superb attention to follow-through.

  • Ability to project a professional image.

  • Experience with CRM platform, Salesforce.

  • Proficiency in MS Windows, Word, Excel, Outlook.

  • Familiarity with common web-based platforms (e.g., SurveyMonkey, Classy, Dropbox, Podio).
