The Donor Communications Coordinator is a member of Philanthropy’s Experience & Engagement team and reports to the Executive Director, Donor Communications. The Donor Communications Coordinator is responsible for coordinating the intake, scheduling, tracking, and reporting for Donor Communications projects, including proposals, impact reports and related stewardship materials, event collateral, event and video scripts, website content, marketing collateral, outreach to scientific speakers, and related deliverables. The Donor Communications Coordinator maintains a complex matrix of current and future projects, pending requests, and associated deliverables, and is responsible for strengthening and scaling the underlying project-management processes and tools. They are responsible for scheduling and coordinating team and project meetings. The Donor Communications Coordinator serves in a unifying role for the Donor Communications team and the larger Experience & Engagement program of which it is a part, helping to ensure team members are aligned and deadlines and business objectives are met. The Donor Communications Coordinator also serves as a liaison with Fred Hutch’s Marketing & Communications team, which partners with Philanthropy on many projects. 


  • Work collaboratively with members of the Donor Communications team to manage project workflow, including assessing new project requests, building project timelines, tracking project milestones and deliverables, communicating status updates to team members and stakeholders, and anticipating and/or mitigating obstacles.
  • Collaborate with colleagues across Philanthropy who request communications support; assess requests and determine parameters for project deliverables, including goals, audience(s), and timeline.
  • Liaise with writers, designers, web producers, and others in Philanthropy as well as Marketing & Communications who are involved in producing and finalizing communications deliverables to coordinate project plans and ensure project deadlines and objectives are met.
  • Strengthen project-management tools and processes to support the team in delivering outstanding communications pieces on time.
  • Coordinate timelines and deliverables with the Philanthropy department’s event calendar as well as calendars managed by peer departments including Marketing & Communications.
  • Update and maintain Donor Communications’ team SharePoint site, including a digital asset library.
  • Coordinate assembly and distribution of regular reports of in-progress and recently completed communications projects on behalf of the Experience & Engagement team.
  • Schedule and facilitate team and project-kickoff meetings, including capturing notes, assignments, and action items. Proactively track progress of resulting plans.
  • Assist in updating select content on that is managed by the Philanthropy department.
  • Provide backup support for the Email Specialist, helping to coordinate review, testing, and distribution of communications to donors through our email platform.
  • Provide administrative support for the Executive Director, Donor Communications, and Donor Communications team.
  • Perform other duties as needed to ensure that project deliverables are provided on time and fulfill their objectives.


Required Education and Experience

  • Bachelor’s degree required. 
  • Three years of experience in nonprofit communications, fundraising/development, or a related field required
  • Proficiency with Microsoft Office Suite, including Word, Excel, Outlook and PowerPoint, and SharePoint. 
  • Proficiency with project management systems. 


Desired Skills and Abilities

  • 1 + year experience in project coordination. 
  • Proficiency with Smartsheet and Asana preferred.
  • Experience with the production of print, digital, and creative collateral strongly preferred; experience working with writers, designers, event producers, and other communications and fundraising professionals also preferred.
  • Experience with Adobe Experience Manager or similar content management system, Adobe Creative Suite including InDesign, Luminate online or similar email marketing tool, and Raiser’s Edge preferred.
  • Strong organizational skills; ability to manage multiple priorities and meet short- and long-term deadlines without sacrificing quality; ability to flex with changing priorities.
  • Strong attention to detail and commitment to producing a high volume of high-quality work.
  • Strong customer-service orientation; aptitude for proactive and collaborative problem-solving.
  • Ability to build relationships in a diverse community and work in a team environment within a complex organization with a wide range of constituencies.
  • Ability to work under the direction of others and perform special projects as assigned, requesting clarification when needed.
  • Demonstrated work ethic; commitment to managing time and resources to ensure work is completed efficiently.
  • Ability to communicate clearly and concisely, both verbally and in writing.
  • Ability to handle confidential and sensitive information.
  • Demonstrated proofreading skills and familiarity with AP style a plus.
