The Cancer Epidemiology research program in the Public Health Sciences Division is offering a project coordinator position to support a complex breast cancer study under the supervision of Dr. Christopher Li, Program Head and Professor, in the Cancer Epidemiology Program.


The Cancer Epidemiology Program is part of Fred Hutch’s Division of Public Health Sciences, home of an extensive portfolio of population science research, large specimen and data repositories, a SEER cancer registry, a prevention center designed for intervention research and a multidisciplinary faculty. Fred Hutch Cancer Center, together with the University of Washington, Seattle Children’s, is an NCI-designated Comprehensive Cancer Center with training programs for graduate students and postdoctoral fellows.


The Project Coordinator works under the direction of the Study Manager and/or Principal Investigator, referring project/study issues on and/or soliciting guidance as necessary. Special skills and knowledge are applied in coordinating research and administrative activities and in carrying-out moderately complex research assignments. The incumbent may coordinate the work of other study staff. They work independently with health care providers, study participants, and other personnel within and outside of the Epidemiology Program, and are responsible for organizing study logistics and study materials.

The position involves many diverse tasks, including participant recruitment activities, specimen procurement, monitoring and tracking study progress, mailing study materials, and assisting in study implementation.

Fred Hutch serves as the coordinating center for the TRANCE consortium, a Department of Defense funded study. The successful applicant will be involved in all aspects of study coordination for the DUET study which is the patient enrollment and biospecimen and data collection project in the TRANCE consortium. The study is led locally by Dr. Li in close collaboration with other Fred Hutch investigators as well as investigators from the Huntsman Cancer Institute at the University of Utah and Washington University in St. Louis, MO. We are seeking a highly motivated person with outstanding organizational skills. This position will perform some or all of the following responsibilities:


  • Coordinate research and administrative activities, ensuring all projects are completed according to study timelines and in accordance with protocol, IRB, grant, consortium, and Center specifications
  • Provide day-to-day coordination of clinical research studies including screening eligible patients by reviewing each patient's medical chart
  • Ensure informed consent, initiate patient enrollment, and ensure accurate enrollment records are maintained
  • Maintain CTMS entries per guidelines and policies
  • Place orders in Epic for the collection of study specimens at the Fred Hutch clinics, UW Medical Center Montlake and Northwest, and other locations as required
  • Coordinate protocol activities to ensure that protocol requirements are completed, which includes tracking subject enrollment, recording adverse events of study procedures and with our collaborators at other sites
  • Conduct biospecimen collection, tracking, management, and dispatch of samples
  • Travel locally to collect and transport specimens to Fred Hutch from other study sites, which may include evenings for high-priority specimens.
  • Assist in updates of research materials which includes questionnaires, data collection instruments, and administrative materials
  • Serve as department/study liaison, provide information to Center staff and outside organizations, and represent the department/study at various meetings or events as required
  • Track participants, administer phone interviews and follow-up as needed, send out questionnaires, review and track questionnaire responses, perform and oversee data entry
  • Complete requisition forms, assemble kits for upcoming research visits, transport laboratory samples, and ensure samples are processed and shipped according to study specific guidelines
  • Track and maintain research supplies
  • May coordinate the work of study staff, including training and orientation and assigning, checking, and evaluating work
  • Gather information and prepare special and recurring reports
  • Carry-out routine and moderately complex research assignments in support of research studies
  • Provide meeting and event administration support
  • Perform other responsibilities as required


Minimum qualifications:

  • Step I education and experience: BA/BS in related field required. 1-3 years of administrative and/or project coordination experience.
  • Step II education and experience: BA/BS in related field required. 3+ years of administrative and/or project coordination experience.
  • Ability to establish professional relationships with patients, families, staff, and providers
  • Effective written, verbal, and interpersonal communication skills required
  • Must have excellent organizational skills and be able to handle multiple tasks and work independently
  • Must have reliable access to a vehicle for local travel
  • Must be willing to work flexible hours based on enrollment and specimen collection needs
  • Collaborative focus is essential
  • Willing to drive to local facilities to meet patients and collect biospecimens
  • Must be comfortable with Microsoft Office software

Preferred qualifications:

  • Experience in a research setting
  • Experience with electronic medical records
  • Previous experience in oncology research and clinical data collection
  • Fluency in Spanish, Portuguese, and/or French
