The Project Coordinator II coordinates administrative activities in support of the Office of Faculty Affairs and Diversity, assisting in the development and carrying out of new initiatives, partnerships, policies, and programs.

 

The incumbent reports to the Vice President for Faculty Affairs and Diversity and works independently in performing daily responsibilities, referring project issues on as necessary.  Special skills and knowledge are applied in coordinating administrative activities, developing administrative materials, and carrying-out complex collaborative projects. This position will supervise project staff.

Responsibilities

  • Coordinate administrative activities, ensuring all projects are completed according to project timelines
  • Develop and administer policies and procedures according to protocol, grant/contract and Center specifications
  • Develop materials which may include surveys, reports, and educational materials. Develop, review, edit, and revise administrative materials.
  • Carry-out complex assignments in support of different activities, requiring advanced related education and/or experience
  • Serve as a liaison representing the Office of Faculty Affairs and Diversity to other Center departments, funding sources, affiliated individuals or institutions, and outside organizations
  • Attend meetings, monitor activities to ensure objectives have been met within designated time frame, and coordinate follow-up activities. Responsible for providing department administrative and scheduling support.
  • Coordinate grant/contract application and renewal process, writing portions of grants/contracts as required
  • Track progress of various projects and activities toward meeting various milestones. Prepare related reports as needed.
  • Assist in the analysis of data related to various activities
  • Supervise staff including hiring, training, evaluating performance, handling disciplinary action, layoff and termination issues
  • Coordinate the preparation of reports describing various activities and their progress including writing portions of these reports as required
  • Manage project database(s) and work with programmers in developing and upgrading database to ensure maximum effectiveness
  • Monitor the Office’s budget, ensuring that all financial allocations and expenditures are in accordance with grant/contract guidelines and regulations
  • Produce special and recurring reports
  • Perform other responsibilities as required

Qualifications

  • BA/BS in related field required. Other relevant work experience may substitute education requirement. MA/MS in related field is preferred.
  • Minimum of three years post-master's or five years post-bachelor's project coordination experience
  • Must have a high level of attention to detail and organization
  • Strong experience working in a collaborative environment and building cross-functional partnerships
  • Must be able to maintain confidentiality
  • Must have demonstrated ability to work independently and take initiative in a dynamic environment
  • High level knowledge of Microsoft applications, specifically Word, Excel, and Outlook are required
