The Research Administrator III/IV plans for and ensures compliant and effective funding, budget and regulatory administration and general administrative support for several Principal Investigators and their labs/departments. The Research Administrator III/IV collaborates with Principal Investigators and interfaces with other departments as needed on administrative and strategic planning and works autonomously to complete nonscientific grant content and tasks, advise the PIs on relevant matters and develop effective solutions to related issues.
- Develop, monitor, track and project the budgets for a complex portfolio of projects with multi-variable aspects (multi-site, sub awards, milestone-based budgets etc.)
- Monitor spending for adherence to grant guidelines and policies
- Participate in strategic planning activities such as setting goals and defining annual objectives for faculty’s program
- Develop, run and analyze reports to identify issues and develop recommendations
- Develop customized report formats to share information with broad audiences across the organization
- Independently determine proper placement for expenses and correct errors to ensure accuracy
Funding Source Administration
- Lead and provide strategic guidance on grant submissions and post award activity by conducting tasks such as:
- Working with faculty to develop strategies for responses/requests
- Completion/collating of all technical/non-scientific steps and assigned technical or scientific portions of funding/grant submissions
- Review budgets, identify discrepancies and provide recommendations to the PI on scenarios to resolve the issues with appropriate stakeholders
- Identify/forecast personnel and other resource requirements (including long-range forecasting across multiple budget years)
- Prepare/Consult/Advise PIs on non-scientific portions of regulatory applications/submissions
- Identify missing regulatory components that are required and resolve issues to ensure successful submission or renewal
- May advise or consult with Center leadership on changes to Center-wide policies/procedures and help create implementation plans in response to changing regulatory requirements (e.g. Uniform Guidance)
- Serve as a central point of contact to answer questions and facilitate solutions
- Prepare/Consult/Advise PIs and maintain Data/Material Use Agreements and other data compliance
- Identify administrative needs for the department or PI(s); prioritize and ensure related tasks are completed.
- Delegate appropriate tasks to Admin Coordinator and follow up as necessary
- Identify space and resource shortages and collaborate with administration to resolve any issues
- Mentor lower level staff
- Oversee the management of projects including occasional event planning and special work groups
- Communicate with other departments/entities on Primary Investigator (PI)’s behalf.
- Resolves discrepancies and issues with stakeholders on PI’s behalf
- Act as a divisional resource and assist with training for lower level staff
This position may evolve into some Clinical Trials Support
- Create, negotiate, and manage budget based on protocol
- Set up and pay bills to third parties
- Partner with external organizations to get pricing
- Set up Clinical Trials Agreements (CTAs)
- Ensure regulatory documents are in place by working with Regulatory personnel for protocol
- Responsible for Clinical Trials Billing including the creation of payment invoices.
- Set up and maintain study document tracking systems
- Amend budget through the life of a study
- Attend study implementation meetings as needed
- Manage multi-site components (sub awards)
- Bachelors degree required. Relevant experience can substitute for educational requirement:
- Research Administrator III minimum requirements: Three years in pre-award and post-award grants and contract management
- Research Administrator IV minimum requirements: Five years in pre-award and post-award grants and contract management
- Technical experience sufficient to allow proficiency doing remote work
- Experience creating and executing strategic plans
- The ability to delegate tasks to appropriate resources
- Multi-project grant experience with a wide variety of funding sources
- The ability to analyze and interpret regulations, determine impact, and manage change
